The terms “Omega software”, “Omega”, “us” or “we” refer to Omega software d.o.o. for IT Services and Trade, with its registered office in Zagreb, Kamenarka 37, PIN (OIB) 40102169932, under the number (MBS) 080402064.
The term “you” refers to an individual who is a user of our services or whose personal data is being processed in the provision of our services.
The term “controller” refers to a natural or legal person who, alone or in collaboration with others, defines the purposes and means of processing personal data and is responsible for the processing of such data in accordance with the applicable European and national personal data protection regulations.
When using our services, with respect to the processing of your personal data, we will sometimes assume the role of the controller, and in cases when we process your personal data for the purposes and using the means as specified by our business partners and/or users, we will act as the processor. Within the context of its main business activity, Omega software most often acts as the processor when providing IT and other services to third parties.
The term “personal data” refers to any data about you that might identify you, directly or indirectly.
1. THE DATA COLLECTED (AND MEANS OF COLLECTING)
- JOB APPLICANTS - when you are applying for a job; are sending us an application letter
- USERS - when you are using our services;
- POTENTIAL USERS - when you visit our website and sign up to receive information about a particular service and/or request direct contact with us;
Visiting these websites is anonymous and the data processing may occur if and when you decide on it, i.e. by leaving your personal data or other information in a message that can be sent by visitors to the site via the contact form. The aforementioned information is used by Omega solely for the purposes of answering your query, comment or suggestion.
In addition to the data you decide to share with us, Omega collects certain data automatically, using web analytics tools and cookies, or Google Analytics. Google Analytics collects data such as the IP address, Internet browser, operating system and the number and behaviour of our site visitors. The data that the system collects is given as an example. This is statistical data that does not allow visitors to be identified and is collected for internal analysis and system administration purposes. In any case, if you want to prevent your behaviour from being monitored, most Internet browsers include a certain control regarding their use in their settings.
Our websites may direct you to other sites that are neither owned nor controlled by Omega. If you access the mentioned sites, it is recommended that you familiarise yourself with the policies and privacy policies of the site owners.
We collect your personal data when you apply for a job at our company, submit a job application or upload a CV to our website.
The personal data that we collect from you is as follows: first name, last name, contact information, information about your education, previous work experience, residential address, or other data that you choose to provide or share with us.
We collect and process personal data based on the consent you gave us when applying for a job or submitting a CV.
When looking for potential applicants, we use a variety of job platforms and CV databases. To that end, we process the personal data that you have shared on the aforementioned platforms and databases.
We also collect data from third parties or publicly available sources (recommendations from former employers, mentors, co-workers or your social media profiles (e.g. LinkedIn) (Omega's legitimate interest).
Your personal data is processed by authorised members of Omega software who will use it to contact you when a new job is created.
USERS AND POTENTIAL USERS
We collect and process your personal data if you use our services.
For this purpose, we collect personal data relating to your relationship with Omega software, such as your first and last name and/or contact information (e-mail, contact telephone number, mobile phone number, address and payment information and VAT identification number).
The collection and processing of this information is necessary for the smooth provision of our services or the fulfilment of our obligations under our existing business relationship.
We collect your data when you contact us as a potential customer, visit our website (s), send us a query and/or request regarding a particular type of service, or contact us with another query or request. We also collect your personal information when we organise certain workshops to expand the network of our users or to offer our services. For the aforementioned purposes, we also collect your personal data by means of platforms, such as LinkedIn, where you have publicly disclosed your personal information.
When we process you as a user and/or potential user, we use all your personal data so we can enable access to our services, provide technical support, provide you with additional information about our services, enhance our business relationship, and fulfil the rights and obligations arising from the business relationship concluded with the user.
The personal data collected for these purposes is not used for any other purpose, except when there is another legal basis for processing such data (e.g. your consent).
When providing services to our users, we process the personal data of individuals as directed by users solely for the purpose of providing our services. This may be the personal data of our users' employees or the end users of our users, data that our users have provided to us as a provider and authorised certain Omega software employees to access the systems on which your personal data is stored. Precisely what data the user provides to the Omega software for the performance of our services is determined and controlled by the user, and it also determines what organisational, process and other measures we, as the provider of certain services, should take to protect personal data. Accordingly, Omega software processes the aforementioned data as the processor while the user is the personal data controller.
If we obtain individual data from our users that enables the provision of our services to the users concerned, we process such data solely for the purposes specified by the users and at their request.
For the purpose of providing our services, we may use certain subcontractors who cooperate in the provision of our services or otherwise have access to the data stored on our platform, in which case we should take into account and maintain an up-to-date list of subcontractors.
Notwithstanding the foregoing, we do not transfer to third parties the data or information we receive from you while using our services, except when necessary, i.e. we do transfer it where required:
- Current list: If so required by a legal obligation, we will provide the personal data of users to such third parties that are legally authorised to request it, such as during criminal proceedings or threats to public safety;
- Targeted advertising: We do not sell or share, nor will we sell or share with third parties any information for advertising or other marketing purposes. However, we can use direct marketing through Google AdWords for our own purposes.
SECURITY OF INFORMATION
Omega has an ISO 27001 system implemented. We take technical, organisational and security measures to protect your personal data from loss, unauthorised access and misuse. This includes conducting storage and processing verifications and physical security measures to protect our systems against unauthorised access.
In addition, access to personal information and data is restricted to individual Omega employees and employees of our suppliers who are bound by the confidentiality and data processing contractual obligations, and we also conclude special agreements with our customers and suppliers to protect personal data.
Omega implements certain measures necessary for the security of the building and the office premises inside the building, which includes video surveillance and control of entry into the building and office premises.
The purposes of data processing in the context of video surveillance and control of entry into the building are security reasons for the protection of persons and property and the prevention and detection of crimes, whereby visitors' data processing is based on a legitimate process. Video surveillance records are deleted within 90 days.
Visitors are allowed to use the Wi-Fi network in Omega's offices by providing a password that can be restored as appropriate. Access to Wi-Fi does not require the disclosure of personal data. Omega has no control and is not responsible for use of the Internet while on our premises, but provides free Internet access.
WHAT ARE YOUR RIGHTS REGARDING PERSONAL DATA PROTECTION
When required by applicable regulations, you have the following rights:
- Access to your personal data that we process and finding out the origin of the data, the purposes of the processing and the period for which your personal data is processed, who the controllers and processors of the processing of your personal data are and to whom your personal data may be provided;
- withdraw your consent on a daily basis, when the processing of your personal data is based on a given consent;
- update or correct your personal data for its constant accuracy;
- delete your personal data from our records if its processing is no longer required for the above purposes;
- restrict the processing of your personal data in certain circumstances;
- obtain your personal data electronically; and
- File a complaint to us and/or the body responsible for personal data protection.

HOW TO OBJECT IF YOU DO NOT AGREE WITH THE PROCESSING OF YOUR PERSONAL DATA
When permitted by applicable regulations, you have the right to object to the processing of your personal data or to require us to stop processing your personal data (including processing for direct marketing purposes).
Once you notify us of this request, we will no longer process your personal data unless otherwise required by specific regulations.
You may exercise this in the same way as determined for the exercise of your other rights and as set out above.
HOW LONG WE STORE YOUR PERSONAL DATA
Your personal data, collected and stored in our database based on your consent, will be stored in our database for the time stated in such consent.
